1. About Hydro Compliance

Hydro Compliance is a software platform that helps water treatment and compliance teams manage clients and buildings, plan and track work (scheduling/PPMs), complete job sheets and inspections (including signatures and photos), manage competency/skills matrices, and generate reports. These Terms govern your access to and use of the Service available at m.hydrocompliance.uk and our mobile interfaces.

2. Your Account & Organisation

  • You must provide accurate information and keep your login details secure. You are responsible for actions taken under your account.
  • Organisation (“Company”) admins control user access, roles, and data within their company workspace.
  • You must ensure your use of the Service complies with applicable law and industry obligations (e.g., LCA/HSE guidance).

3. Acceptable Use

  • No unlawful, harmful, or infringing content may be uploaded to the Service.
  • Do not attempt to probe, scan, or test the vulnerability of the Service, nor circumvent any security measures.
  • Do not misuse notifications, push messages, or email features to spam or harass users.

4. Customer Data & Ownership

You retain all rights to data you enter into the platform, including client/building data, work orders, job sheets (forms, photos, and signatures), competency assessments, and related attachments (collectively, “Customer Data”). You grant us a limited licence to host, process, back up, and transmit Customer Data for the purpose of providing and improving the Service.

5. Subprocessors & Third-Party Services

To deliver core features (e.g., hosting, storage, push notifications, email, and payments), we may rely on vetted subprocessors such as cloud infrastructure providers, file storage, email gateways, push providers (e.g., OneSignal/FCM), and payment processors (e.g., Stripe). We ensure appropriate contracts and safeguards are in place; see our Privacy and Cookie Policies for details.

6. Service Availability & Changes

We aim for high availability but do not guarantee uninterrupted service. We may modify features, apply updates, or discontinue parts of the Service with reasonable notice where practicable. Critical changes to these Terms will be communicated within the app.

7. Warranties & Liability

The Service is provided “as is” and “as available.” To the maximum extent permitted by law, we exclude all implied warranties and disclaim liability for indirect or consequential losses. Nothing limits liability for fraud, death, or personal injury caused by negligence.

8. Pricing & Setup Fees

Access to the Service is subject to a subscription fee, billed monthly based on the number of users and active modules enabled for your organisation. In addition to the ongoing subscription, a one-time onboarding & setup fee is charged each time a new subscription is initiated. This fee is non-refundable and applies regardless of prior subscription history — if a subscription is cancelled and a new one is started, the setup fee will be charged again.

  • All prices are quoted in GBP and are inclusive of VAT unless otherwise stated.
  • Subscription fees are billed at the start of each billing period via Stripe.
  • The setup fee covers initial platform configuration, onboarding support, and system access provisioning.
  • You authorise us (via Stripe) to charge your payment method for all applicable fees.

9. Termination

You may stop using the Service at any time. We may suspend or terminate access for breach of these Terms, unlawful activity, or to protect the platform or other users. Company admins are responsible for exporting or deleting Customer Data before closure.

9. Governing Law

These Terms are governed by the laws of England and Wales. Courts of England and Wales have exclusive jurisdiction for disputes relating to the Service.
